Privacy Policy

This policy explains how "Versa System" (referred to here as "we" or "Versa") collects, uses, and protects your data — whether you use the Versa bot and its dashboard, or purchase bots, Lavalink hosting, and other services through Versa Store. By using any of our services, you agree to the practices described below.

• —This policy applies equally to bot.versaiq.xyz (the dashboard) and versaiq.xyz/store (the store)
• —The service is intended for Discord users aged 13 and above, per Discord's Terms of Service
• —Using the service means you consent to the collection and processing of your data as described here

We collect different data depending on how you use our services — logging in via Discord, using the bot and dashboard, or purchasing from the store.

• —Via Discord OAuth: your user ID, username, email, avatar, and the list of servers where you have management permissions
• —From your use of the dashboard and bot: bot settings in your servers, custom welcome/leave messages, profile photos and rank cards, and activity logs within the dashboard
• —Discord data required to operate features enabled by server administrators: user, guild, channel, and role IDs; membership and role state; and punishment records
• —Depending on features enabled by server administrators, Versa may process message content to execute prefix commands, automatic responses and actions, moderation and protection filters, channel content restrictions, and logging features
• —Limited message content and attachment metadata may be retained temporarily when necessary for moderation reports, such as enabled bulk-deletion reports and deleted-message logs; we do not create a general archive of every message sent in a server
• —From store purchases: your email address, country code (used to determine currency and VAT), and the server ID the subscription is applied to — we never receive or store your card details (see "Payment Processing" below)
• —Technical data: IP address, browser and device type, and the cookies described below

We use the data we collect for the following purposes only:

• —Providing and improving bot services, and letting you manage your server's settings
• —Personalizing your experience with the bot and dashboard
• —Processing message content only to perform the requested or enabled server feature; message content is never sold, used for advertising, or used to train or improve artificial-intelligence or machine-learning models
• —Activating, delivering, and renewing subscriptions purchased through the store
• —Communicating with you about updates, technical support, and order status
• —Protecting the website and bot from malicious use or fraud

We do not receive or store your card or sensitive payment details; payments are processed outside our systems.

• —No card number or sensitive payment data ever reaches or is stored on our servers, in any form

We use a very limited set of cookies, and no advertising or third-party tracking cookies:

• —Required: session_id — for login and session management (httpOnly, secure)
• —Optional: cookie_consent — to remember your consent to this cookie policy
• —Not used: advertising tracking cookies, or third-party marketing cookies

We take strict security measures to protect your data:

• —Encryption of all data in transit (SSL/TLS)
• —Secure storage of access tokens in the database only
• —Use of httpOnly cookies to prevent XSS attacks
• —Advanced server-side security headers
• —Time-limited sessions with automatic refresh

We do not sell your personal data to anyone, and never share it for marketing purposes. We only work with technical providers necessary to run the service, each processing a specific, limited slice of data based on its role:

• —Discord Inc. — powers login (OAuth) and runs the bot inside your servers
• —Cloudflare Inc. — website protection and content delivery (CDN/WAF)
• —Our hosting and database provider — to securely store dashboard and bot data
• —We may disclose limited data if compelled by a valid legal order

We retain your data for as long as you continue using the service, or as needed for legitimate legal or accounting purposes.

• —Dashboard and bot data is automatically deleted when the bot is removed from your server, or within 90 days of inactivity upon request
• —Temporary bulk-deletion reports containing message content are automatically deleted after 30 days, and other temporary context may expire sooner depending on the feature
• —Order and billing records are kept for the period required by applicable tax and accounting laws
• —You may request manual deletion of your data at any time by contacting us

Our services are not directed at children under 13, in line with Discord's Terms of Service. We do not knowingly collect data from children under this age, and will delete such data immediately if we become aware of it.

Regardless of where you reside, you have the following rights over your personal data (including GDPR rights for EU/UK residents, and CCPA rights for California residents):

• —Access your personal data and receive a copy of it
• —Correct or update inaccurate data
• —Delete your data ("right to be forgotten")
• —Withdraw your consent to data processing at any time
• —Request data portability to another provider
• —Object to or restrict how your data is processed
• —California residents: the right to know what data is collected about you and request deletion — we do not sell your data in the first place
• —EU/UK residents: the right to lodge a complaint with your local data protection authority

We may update this policy from time to time to reflect changes to the service or legal requirements. We will notify you of any material changes via Discord or when you log in to the dashboard. Continued use of the service after an update takes effect constitutes acceptance of it.

When you use the VERSA Cinema activity (movie and live-sport watching on Discord), in addition to the data described above, we collect and use activity-specific data:

• —Your watch history — to resume where you left off and to show your personal viewing stats on your account page
• —Your comments and ratings on displayed titles — visible only to members of your own server, and never shared outside it
• —The server and channel ID you use the activity from — for subscription verification only
• —We retain your watch history, comments, and ratings for as long as your account remains active on the service; this data is automatically deleted after 90 days of inactivity, or immediately upon your deletion request
