At Versa System, we are committed to protecting your privacy and personal data. This policy explains what data we collect and how we use and protect it, both through the dashboard and bot, and through our store.
Our order process is conducted by an authorized online reseller. This reseller is the Merchant of Record for all our orders, and receives and processes your payment data as an independent controller of that data. Our payment provider's privacy policy is available at checkout.
Introduction & Scope
This policy explains how "Versa System" (referred to here as "we" or "Versa") collects, uses, and protects your data — whether you use the Versa bot and its dashboard, or purchase bots, Lavalink hosting, and other services through Versa Store. By using any of our services, you agree to the practices described below.

- —The service is intended for Discord users aged 13 and above, per Discord's Terms of Service
- —Using the service means you consent to the collection and processing of your data as described here
Information We Collect
We collect different data depending on how you use our services — logging in via Discord, using the bot and dashboard, or purchasing from the store.
- —Via Discord OAuth: your user ID, username, email, avatar, and the list of servers where you have management permissions
- —From your use of the dashboard and bot: bot settings in your servers, custom welcome/leave messages, profile photos and rank cards, and activity logs within the dashboard
- —From store purchases: your email address, country code (used to determine currency and VAT), and the server ID the subscription is applied to — we never receive or store your card details (see "Payment Processing" below)
- —Technical data: IP address, browser and device type, and the cookies described below
How We Use Your Information
We use the data we collect for the following purposes only:
- —Providing and improving bot services, and letting you manage your server's settings
- —Personalizing your experience with the bot and dashboard
- —Activating, delivering, and renewing subscriptions purchased through the store
- —Communicating with you about updates, technical support, and order status
- —Protecting the website and bot from malicious use or fraud
Payment Processing via an Authorized Provider
All purchases made through Versa Store are processed by an authorized online reseller. This reseller is the Merchant of Record for all our orders — meaning they, not us, receive, process, and store your payment data (card number, expiry, billing address) as an independent controller of that data, under their own privacy policy.
- —No card number or sensitive payment data ever reaches or is stored on our servers, in any form
- —The information we share with our payment provider to complete a purchase is limited to: your email, country code, and the product ordered
- —See our payment provider's privacy policy for how they handle your financial data — the link is available at checkout
- —Invoices and payment receipts are issued under the payment provider's legal entity name applicable to your region
Data Security
We take strict security measures to protect your data:
- —Encryption of all data in transit (SSL/TLS)
- —Secure storage of access tokens in the database only
- —Use of httpOnly cookies to prevent XSS attacks
- —Advanced server-side security headers
- —Time-limited sessions with automatic refresh
Data Retention
We retain your data for as long as you continue using the service, or as needed for legitimate legal or accounting purposes.
- —Dashboard and bot data is automatically deleted when the bot is removed from your server, or within 90 days of inactivity upon request
- —Order and billing records are kept for the period required by applicable tax and accounting laws
- —You may request manual deletion of your data at any time by contacting us
Children's Privacy
Our services are not directed at children under 13, in line with Discord's Terms of Service. We do not knowingly collect data from children under this age, and will delete such data immediately if we become aware of it.
Your Privacy Rights
Regardless of where you reside, you have the following rights over your personal data (including GDPR rights for EU/UK residents, and CCPA rights for California residents):
- —Access your personal data and receive a copy of it
- —Correct or update inaccurate data
- —Delete your data ("right to be forgotten")
- —Withdraw your consent to data processing at any time
- —Request data portability to another provider
- —Object to or restrict how your data is processed
- —California residents: the right to know what data is collected about you and request deletion — we do not sell your data in the first place
- —EU/UK residents: the right to lodge a complaint with your local data protection authority
Policy Updates
We may update this policy from time to time to reflect changes to the service or legal requirements. We will notify you of any material changes via Discord or when you log in to the dashboard. Continued use of the service after an update takes effect constitutes acceptance of it.
VERSA Cinema-Specific Data
When you use the VERSA Cinema activity (movie and live-sport watching on Discord), in addition to the data described above, we collect and use activity-specific data:
- —Your watch history — to resume where you left off and to show your personal viewing stats on your account page
- —Your comments and ratings on displayed titles — visible only to members of your own server, and never shared outside it
- —The server and channel ID you use the activity from — for subscription verification only
- —We retain your watch history, comments, and ratings for as long as your account remains active on the service; this data is automatically deleted after 90 days of inactivity, or immediately upon your deletion request
- —The VERSA Cinema subscription itself is processed by the authorized payment provider named in the "Data Sharing" section above, acting as the Merchant of Record — we never receive any payment data
